Change of tax advisor

Is the change of tax advisor complicated?

No, the change itself is relatively easy. You should talk to your previous tax advisor in advance and, in particular, know your contractual situation (including notice period). As soon as the contracts with your previous consultant have ended and the outstanding work has been completed, we can get started.

What is there to consider when switching?

In most cases, it is recommended to switch only when the current tax advisor has completed all outstanding work, e.g. the advance return for sales tax that is currently due. In particular, the existing deadlines should be observed and a certain amount of time should be planned for the change (approx. 1 week). Honestly, there is no perfect time. In principle, however, we can take over and continue the work of the preparatory consultant at any time.

How long will it take to switch and when can we start working together?

With us, contract creation and video identification take around 1 week. In addition, experience has shown that the transfer of client data takes several days. However, as soon as we have all the data from you and your previous tax advisor, we can start onboarding and thus the collaboration. If, on the other hand, you have not had a tax advisor yet, we can of course get started right away.

How much does a change of tax advisor cost?

The change itself doesn't cost you anything for now. However, if we transfer data from your current tax advisor, Datev will incur costs of 20.50€ net per program (e.g. business tax) or assessment year (e.g. accounting inventory). But don't worry, the costs are capped. For example, you pay a maximum of 102.50€ net for the transfer of accounting data.

Is a tax advisor worthwhile for me?

This often depends on your financial situation, business volume and professional know-how. You can get the cheapest package from us for just 50, - € net per month. But if, for example, you are still at the beginning of your self-employment and are familiar with the accounting and tax tasks, you can theoretically also prepare the bookkeeping yourself. In fact, there is no obligation to hire a tax advisor. However, for liability reasons, switching to a tax advisor is definitely recommended. You should also focus on your business in peace.

What are the advantages and disadvantages of hiring a tax advisor?

Apart from the additional financial burden, there are no disadvantages for now. However, the money is well invested, as it relieves you and allows you to concentrate more on operational business. As advantages, it should be mentioned that your tax risks are reduced to a minimum and that you can also benefit from tax optimization options. But these are just a few of the benefits. It's best to arrange a free initial consultation today and find out more.

How does the initial consultation work and how much does it cost me?

The initial consultation with us is generally free of charge. It is particularly useful as a first acquaintance. We want to learn more about you and your company and understand your motivation for the change. Of course, you should also be able to get an idea of us. You can therefore use the interview to find out more about working with a tax advisor and to clarify your open questions. We will also show you which tailor-made solutions we can offer you and the benefits associated with them. However, tax advice is not offered in this context.

What can I imagine as onboarding?

Onboarding takes place at the start of the collaboration. We will give you a personal introduction to the Datev tool “Company online” and connect any pre-systems to Datev via an interface. In fact, this program is used to exchange all documents, data and information that we need for accounting. The onboarding fee is also 300€ net and covers all costs incurred during the mandate initiation (e.g. video identification, digital contract signing, mandate investment, transmission of the power of attorney to the tax office, etc.). Onboarding is also mandatory, as it lays the foundation for successful collaboration.

Why is video identification necessary?

The Money Laundering Act (GWG) obliges us tax advisors to identify clients. In theory, you can also come by in person and present your identity documents to us for verification. But since we want to work with you 100% digitally, we have decided to commission identify24 to identify you via video call. By the way, you will first be called by a call agent. He will make an appointment with you by phone for video identification. This in turn only takes a few minutes. All you need is a valid identity document. The process is similar to opening a bank account and is faster and easier than you think.

What data does the tax advisor need?

In particular, we need your personal data, company details and contact details (email address and mobile number) at the beginning. To do this, you will have access to our customer area, where you will find appropriate questionnaires. Simply enter the necessary data digitally and send it conveniently with the click of a button.

What does the collaboration look like?

You can easily upload your receipts and invoices to us via Datev Unternehmen online. You can also link your bank account here and access all relevant reports for financial and payroll accounting. This gives us all the information we need to prepare the accounting and can therefore work relatively independently. If, on the other hand, there are any questions or points remain unanswered, the whole thing is conveniently clarified by e-mail or call. This applies to both sides, of course. We are of course also available at any time for larger consulting topics. However, online meetings are usually arranged via teams for this purpose.

At what frequency do I have to upload the receipts?

In principle, we work with our clients either on a monthly or quarterly basis. We are guided by your tax reporting obligations (e.g. deadlines for advance sales tax return). However, we recommend monthly bookkeeping, as this means that you will also receive monthly evaluations from us and therefore always keep an eye on your company figures.

Which tools do you use?

We are a Datev law firm and therefore use essentially all standard Datev programs. However, we are not limited to Datev tools, but can also integrate many other programs into the process. In fact, it is possible to connect many source systems (e.g. lexoffice, finway, getMyInvoice, etc.) via Datev interface. It's best to get an overview at https://www.datev.de/web/de/m/marktplatz/ and see if your tool is also included.

I already use a tool for my accounting and would be reluctant to change anything about it. Is that a problem?

No, it's not a problem. Each program has its advantages and disadvantages, and of course we understand if you don't want to change anything about your previous process. We will therefore try to set up an interface from your program to our accounting system and thus easily access your receipts.

What tasks does the tax advisor take on for me and what else do I have to do myself?

Essentially, all you have to do is upload your accounting documents (invoices, receipts, contracts, etc.) to Datev companies online every month or quarter. Since we try to connect all source systems and your bank accounts to Datev, we can easily access all data. By issuing a power of attorney, we will even take over the communication with the tax office for you and receive correspondence (e.g. messages, notifications, inquiries, etc.) on your behalf.

What is the best way for me to contact you or do I have a direct contact person?

Each client has permanent contacts with us. A team - consisting of accountant and tax advisor - will always be responsible for you. You can reach your contacts either by phone or email. Alternatively, you always have the option to book an appointment for a video call via Calendly.

What tax advisor fees should I expect?

Our pricing model depends on your business volume. The accounting effort depends in particular on the number of documents you have; the costs for tax returns are based on your annual turnover and profit. However, we want to be more transparent and have therefore opted for a subscription model. For founders, prices start at just 50, - € net per month. It's best to use our fee calculator to get an overview of the costs.

What is included in the monthly package?

This covers all costs associated with your bookkeeping (e.g. posting receipts or submitting an advance sales tax return) as well as the effort required to prepare the annual financial statements and company tax returns. You also have the option of booking additional packages, e.g. for accounting and/or tax advice. In addition, our services are billed by the hour and there are other packages for special services (e.g. onboarding). It's best to just take a look at our price list.

How are projects billed?

If, on the other hand, you need specific advice (e.g. incorporation, transformation or procedural documentation), it is best to make an appointment via Calendly and tell us more about your project. You will then receive an individual offer from us.

How is the invoicing or payment made?

You will receive a monthly invoice from us in the amount of the package you have booked. If you have taken advantage of additional services in the respective month, these will also be shown. Payment is very convenient via SEPA direct debit mandate.

How do I receive an offer from you or how is the contract signed?

As a first step, it is best to take a look at the fee calculator, so you know which package you are classified in and what monthly costs you have to expect. You can then make an appointment for a free initial consultation via Calendly. There, you have the opportunity to have your open questions answered and learn more about the collaboration and the next steps. If the cooperation is right for both parties, we will then send you the contract documents via a digital signature solution. At the moment, we are using FP Sign for this.

How long does the tax advisor contract last?

Our subscription model has a duration of 12 months. At the end of the contract period, the contract automatically ends. However, we will make you a new offer for further cooperation before the end of the contract. If the scope of your business hasn't changed significantly, you'll be placed in the same package again.

How long is the notice period?

The contract expires automatically after 12 months. However, should there be important reasons (e.g. termination of the company), the contract can also be terminated prematurely. We are relatively accommodating here and will certainly find a solution.

What obligations do I have as part of the contractual relationship?

In particular, you must ensure that you provide us with all necessary documents and clarifications in full and on time. You are also responsible for ensuring that the documents are issued correctly and correctly. In fact, we will base the (figures) information you have provided as correct and will not check it any further. But don't worry, we'll tell you exactly which documents we need and when we need them. In addition, you can confidently provide us with all documents, as we are subject to a duty of confidentiality as tax advisors.

What advantages do I have as part of the contractual relationship?

In addition to saving time, you will of course enjoy other benefits of hiring a tax advisor. Among other things, you benefit from extended filing deadlines for filing tax returns. In addition, you no longer have to worry about any breaches of duty or tax risks, as we have very high quality standards internally and attach great importance to 100% correct advice. The client relationship is also covered by liability insurance. Although this has never been used before, should a mistake occur and result in damage, you are covered.

Do I have to tell the tax office that I now have a tax advisor?

No, the tax office automatically finds out about this. You will receive a form from us for tax representation vis-à-vis the tax office. As soon as you have signed this for us, we will report the power of attorney to the tax office and the communication will therefore flow through us. You can therefore sit back and focus on your business.
